Accounting & Administrative Assistant M/F – Spain & Portugal

Within the Accounting department of Qair Renewables Ibérica, SLU (“QRI”), the Accounting & Administrative Assistant ensures the accounting and tax management of a portfolio of files in their entirety, and provides administrative support to QAIR Office.

Amongst other tasks, the Accounting & Administrative Assistant will be responsible for ensuring the completeness of the Companies' accounts and the proper application of the Group's accounting rules.
The position is based in Madrid, Spain.

Main responsibilities

The main duties of the Accounting & Administrative Assistant are to:

  • Follow-up and bookkeeping of files with analytical allocation:
    • Manage the portfolio of payments and collections and their due dates: invoice entry, expense notes, banking operations, etc.;
    • Ensure and verify proper allocation of each invoices to projects;
    • Fulfillment of settlements;
    • Performing Treasury and Bank Reconciliation;
    • Issuance of customer & intragroup invoices with control of contracts/agreements.
  • Budget follow up and analysis of differences between budget and actual figures on a quarterly basis;
  • Monthly review of accounting and analytical accounts;
  • Creation of quarterly/monthly orders with an up-to-date work file;
  • Management and maintenance of fixed assets;
  • Carrying out closing work, tax returns, accounting annexes and working files for the auditors;
  • Control and updating of master records;
  • Active participation in the monthly and annual closing of accounts;
  • Verification of intercos (with French holding and QRI subsidiaries);
  • Processing of incoming and outgoing mail;
  • Be the point of contact for the statutory auditors and group Financial control;
  • Updating of Group procedures concerning general accounting;
  • Provide general support to QRI team office, mainly:
    • Book travels, when necessary;
    • Documentation, filling and archiving;
    • Request Land Registry extracts (Nota simple in spanish);
    • Compile and prepare carbon foot print data’s and files necessary in regards to renew/obtain the annual ISO/TS 14067 carbon foot print certification.

Skills & Experience

She / He brings an experience of more than 3 years of experience in an equivalent position.

She / He has a bachelor’s degree in business administration (FP/FICO/ADE) or similar. Previous experience in the sector; energy, electricity and/or renewable energies will be a plus.

She / He is comfortable with standard IT tools and scheduling software (Microsoft Office Package – mainly Ms Word, Ms Excel, Ms Power Point).

She / He  bringing knowledge and experience in SAGE X3 ERP will be a plus.

She / He must have excellent verbal and written interpersonal and communication skills in English and Spanish. French will be a plus.

Furthermore, She / He is rigorous, methodical and appreciates teamwork, and is able to work with a great deal of autonomy.
